By registering for and/or participating in any STEM World lab, workshop, class, camp or course (hereinafter "Program"), I acknowledge that I have read all the Terms and Conditions below and agree to be bound by them on behalf of myself and my child(ren) (hereinafter "student(s)").
1. Code of Conduct
I agree that I have read through, understand, and agree that I and my student will be held to the Code of Conduct set forth below. I also agree that I have reviewed the Code of Conduct with my student. I understand that I and my student must act in a way that is in keeping with the Code of Conduct and that my student can be dismissed from a Program if either of our actions or attitudes seem to be disruptive or harmful to the atmosphere, participants or staff. I understand that STEM World reserves the right to dismiss anyone from a Program without prior warning for violating the terms of this Code of Conduct. Refunds will not be given for students dismissed for failure of the student or the parent to abide by the Code of Conduct. I also acknowledge that upon staff observation of my student at the STEM World Program, STEM World may determine that the Program is not a suitable and/or productive environment for my student. In this case, STEM World may dismiss the student and no refund will be issued. STEM World strives to maintain excellent relationships with students. However, in some rare cases, STEM World may not be a compatible environment for every student.
Students and Parents/Guardians May NEVER:
engage in or threaten violence;
bully, criticize, intimidate, or harass others;
damage facilities or equipment;
smoke, use tobacco, or vape products at STEM World; or
use, possess or be under the influence of alcohol, marijuana, or any illegal or un-prescribed legal drug (If a student is caught using, possessing or being under the influence of illegal or un-prescribed substances, he/she may be permanently banned from STEM World.)
Students Also May NEVER:
view inappropriate material (including sexual content, inappropriate violence, racism, bullying, etc.) on the internet;
steal or use without permission the property of others;
inappropriately use lab equipment, tools or materials;
engage in internet hacking;
use or possess weapons (If possession of weapons is suspected, student will be subject to search and seizure. If a student is found in possession of a weapon, he/she will be immediately dismissed and permanently banned from STEM World);
bring pets or animals to STEM World (unless a service animal) without permission of staff; or
bring hoverboards or similar toys, roller blades or shoes with wheels.
Students and Parents/Guardians MUST:
abide by these rules and regulations; and
respect facilities and property (parents are responsible for any intentional damage to facilities or property by a student).
Students Also MUST:
not use personal electronic devices during instructional time - unless they are approved by the instructor (It is recommended that all personal devices be left at home. STEM World does not facilitate internet access for any non-STEM World devices.)
2. Health and Safety
I understand that some activities at STEM World contain inherent risks of potentially serious injury.
I certify that my student is in good health and able to participate in STEM World activities, and that if for any reason my child should be restricted from participating in any activity, that I have provided STEM World notification of such restrictions through the registration forms associated with my student’s account.
I authorize STEM World staff to attend to any health issues or injuries my student may incur while participating in STEM World activity. This includes providing basic first aid, administering authorized medications, and seeking emergency medical care for my student should they deem it necessary.
I agree to be financially responsible for any medical treatment needed during the duration of the Program. I understand that I am solely responsible for providing the insurance coverage for any medical treatment my student receives as a result of participating in STEM World activities.
I understand that I must accurately complete all forms required by STEM World (including, but not limited to the health care consent form) within the time frames set forth by STEM World. I understand that as a condition of enrollment, I, as my student’s parent/guardian, will need to fill out the registration forms prior to my student attending a STEM World Program. I understand that if I do not timely and accurately complete all forms, that my student may not be able to participate in the Program until I do. If I do not complete the registration forms at least one week (7 days) prior to the start of my student’s course, my student’s registration in the course maybe withdrawn and no refund will be issued.
If my student needs to bring any medications to camp, I agree to bring all medications in original containers that identify (in English) the prescribing physician (if a prescribed medication), the name of the medication, the dosage, any side effects, and the frequency of administration. The information dosage and frequency of administration on the bottle must match the information provided on the registration forms. I agree that all medications, except inhalers and diabetic testing kits, will be given to and administered by STEM World staff. If my student will be bringing an Epipen or similar, I will ensure that he/she brings two non-expired Epipens the first day of their Program. One will be held by staff. The other will be held by the student. My student will be required to self-administer all injectable medications under the observation of staff. At the end of your student’s Program, I am responsible for retrieving all medications from STEM World staff.
I understand that STEM World staff cannot give my student over-the-counter medication without written permission.
I agree that if my student’s medication is left at STEM World after my student’s session has ended, that STEM World has the right to dispose of any medication left and shall not be responsible for any damages or liabilities related in any way to such medication, including, but not limited to, replacement cost of the medication and any damages resulting from student’s failure to administer such medication.
I represent to STEM World that my student is current on all vaccinations according to the age-appropriate recommended immunization schedules published by the US Centers for Disease Control and Prevention (CDC), and that my student poses no known risk to others while engaging in this activity. I further understand that if requested, I may be required to provide proof of vaccinations or other medical clearances necessary and appropriate for the activity and if I fail to do so, my student’s registration may be canceled without a refund.
I understand that the Emergency Contact I provide on the registration forms must be at least 18 years of age and must reside in the United States.
I UNDERSTAND THAT FOR MY STUDENT’S SAFETY, I MUST PROVIDE STEM WORLD WITH ACCURATE AND COMPLETE HEALTH, BEHAVIOR AND DIETARY ISSUES/RESTRICTIONS. I MUST ALSO COMPLETE ALL REQUIRED FORMS. FAILURE TO PROVIDE REQUIRED INFORMATION CAN RESULT IN CANCELLATION OF MY STUDENT’S REGISTRATION WITHOUT REFUND.
3. Special Accommodations
If your student requires any special accommodations in order to participate in STEM World activities, we ask that you contact STEM World no less than two (2) weeks prior to your student’s first day. STEM World will work with you to identify available reasonable accommodations. If your student requires an aide at school then he/she will need to be accompanied by an aide at the STEM World Program, and that aide will need to be present for the duration of the session. The aide must be age 18 or older, may not be a family member, and must show a favorable result on a criminal background check and may be subject to fingerprinting. You will be responsible for all direct costs, including background check processing fees and compensation, for the aide’s attendance.
4. Photo Release & Acknowledgement Regarding Other Activities
Photos: I authorize that photos, videos, images, audio and testimonials may be taken of my student (if over the age of 5) and agree that said content may be used by STEM World in promotional materials, marketing collateral, and online media. I understand that STEM World, its owners, agents, partners, facility providers, and employees will not be held liable for damages and injuries associated with said publishing, including any and all claims based on right of privacy, defamation and/or negligence. I agree that all images, testimonials, photos, video, and audio taken at or in connection with STEM World are the sole and exclusive property of STEM World.
Press Visits: I further authorize STEM World and the press or media to use my student's image only in print, radio, TV and other mediums. (Often when press arrives at camp, STEM World may not have the opportunity to contact all families for permission before the press arrives. Therefore, we have created a blanket policy. We thank you for understanding.)
Projects/Take-homes: I understand that depending on the Program that my student takes, STEM World may offer to send my student home with a working game or project, or post my student’s project to a project website, or send home a product or voucher for a product. However, I understand that there will be instances when a project or product or product voucher cannot be sent home, posted or delivered, and that STEM World is not responsible if the game, project, product or voucher does not work properly, or is not compatible with systems outside of STEM World. Therefore, I release STEM World from any responsibility for failure to provide the project or product voucher, or a functioning/compatible/complete games, projects, product vouchers or product. STEM World staff will attempt to provide each participant with their completed project at the conclusion of each session and provide products or product vouchers (if applicable) at the end or any other time during the session. Refunds will not be issued for not receiving products, product vouchers, or being provided a copy of the project, and/or non-functioning/non-compatible/non-complete projects, product vouchers or products. I also agree that all projects and work created while at STEM World may be used by STEM World in promotional materials, online, and other print media. I agree that STEM World, its owners, agents, partners, facility providers, and employees cannot be held liable for damages and injuries associated with said publishing, including any and all claims based on right of privacy, defamation or negligence. I understand that if I have issues with a product voucher or product given as part of a Program, I must contact the manufacturer directly.
Movies: I understand that movies played at or attended by any of the Programs run by STEM World are rated PG (and PG-13 when appropriate) and selected at the sole discretion of STEM World.
Software Accounts: I understand that some STEM World Programs require creation or use of an online account during instructional time, or will require an online account to be created for access to games and networked gameplay. I give consent for STEM World to create account(s) as needed for my student to participate in Program activities.
Game Ratings: I understand that while STEM World takes its corporate responsibility and STEM World family values very seriously, it cannot guarantee that younger students at STEM World will avoid complete contact with the games rated "T" for Teen, or "M" for Mature. STEM World will make a concerted effort to minimize exposure to any games not appropriate for these age groups. I also understand that if a student is attending a course designed for ages 13-18, some of the game titles my student may be exposed to are rated "M" for Mature by the ESRB (Entertainment Software Rating Board). In exchange for my student’s participation in STEM World Programs, I voluntarily assume any and all risks, known or unknown, associated with my student’s access to "M" rated game content at a STEM World Program.
Inappropriate Web Content: I understand that STEM World makes every reasonable effort to prevent participants from being exposed to inappropriate web content. As a safeguard, STEM World restricts access to inappropriate web content internally. I agree that no method is 100% perfect, and that my student could inadvertently access inappropriate content even though STEM World takes reasonable precautions to guard against inappropriate material being viewed. I understand that if inappropriate content is viewed, STEM World staff will follow standard protocol and I agree that if my student is found in violation of the Code of Conduct set out above, my student may be removed from a Program without receiving a refund.
5. Sign Out Policy
Self-Sign-Out Policy: I agree that if my student is 14 or over and I have agreed to allow them to self-sign-out, he/she can sign himself/herself out. I further agree that when my student signs themselves out, they will no longer be in the care of STEM World.
Sign-Out Policy for Others: I agree that if my student is 13 or under, he/she must be signed out of their STEM World Program only by an authorized pickup person. I understand and agree that only those named as authorized pick-up persons (and who show a valid picture ID, Driver License, or Passport) will be able to pick up my student.
6. 18 and Over Policy
I understand that STEM World offers teen-only Programs designed for students ages 13-18, and that students who are age 18 may interact with students throughout the duration of each Program session. I understand that by registering for a STEM World Program that accepts 18-year-old students, my student may interact with a student that is 18. I also agree that if I am 18 years old or more, that I agree, if requested, to successfully pass a criminal and sexual offender background check prior to being allowed to attend a STEM World Program (I agree to be responsible for all costs and fees associated with any background checks required for my student to attend.)
7. Course Cancellation by STEM World
I agree that STEM World has the right to cancel a course. If a course is cancelled, I understand that I may enroll my student in another course. I agree to be responsible for any costs for the new Program that are above the amount paid for the original course. If another course is not available for the same dates, a full refund will be issued for all monies paid to STEM World for the cancelled course. I understand and agree that if STEM World is forced to close or cancel a course based on reasons beyond its control, such as in the case of a communicable disease outbreak or other acts of nature, a refund will be issued at STEM World's sole discretion.
8. Customer Changes, Cancellations, Refunds & Credits
I understand and agree that I am, without penalty, able to make changes to my student’s registration, so long as the changes are made more than 14 days (for summer camps) or 7 days (for all other workshops/labs/classes) prior to the start date of the originally scheduled course my student was registered for. Changes or cancellations made within those time frames are entitled to a full refund, less a $50 administrative fee. For any changes made after either of those dates, for any reason, STEM World may, in its sole discretion, elect not to issue a refund and may charge a transfer fee for another camp or class. STEM World also reserves the right not to issue refunds for early withdrawal or absences for any reason, including sickness, behavioral dismissals, and unforeseeable events not within the control of STEM World or other acts of nature. Credits may be issued to be applied for future classes - see FAQ page.
9. Assumption of Risk & Release of Liability
I ACKNOWLEDGE THAT THERE IS AN INHERENT RISK OF INJURY IN PARTICIPATING IN STEM WORLD'S PROGRAMS, PARTICULARLY IN A WORKSHOP/LABORATORY/MAKERSPACE ENVIRONMENT. THEREFORE, I, FOR MYSELF AND ON BEHALF OF MY SON/DAUGHTER, IN EXCHANGE FOR THE RIGHT TO PARTICIPATE IN STEM WORLD'S ACTIVITIES AND PROGRAMS, FURTHER AGREE TO FULLY INDEMNIFY, RELEASE AND HOLD HARMLESS STEM WORLD PASADENA, LLC and STEM WORLD, LLC,THEIR OWNERS, AGENTS, PARTNERS, FACILITY PROVIDERS AND EMPLOYEES (COLLECTIVELY "STEM WORLD") FROM LIABILITY (INCLUDING CLAIMS BASED UPON THEIR OWN NEGLIGENCE) FOR ANY AND ALL DAMAGES OR INJURIES TO MY SON/DAUGHTER OR DAMAGE TO ANY PERSONAL PROPERTY. TO THE EXTENT THAT THIS RELEASE CONFLICTS WITH ANY STATE LAW GOVERNING RELEASES, THIS RELEASE IS TO BE GIVEN THE FULLEST FORCE AND EFFECT PERMITTED UNDER STATE LAW. SHOULD ANY PART OF THIS CONTRACT BE FOUND INVALID OR NOT ENFORCEABLE BY A COURT OF LAW, THEN THE REMAINING PORTION SHALL CONTINUE TO BE VALID AND ENFORCEABLE.
10. Indemnity of STEM World
I agree to defend, indemnify, and hold STEM World, its officers, directors, agents and employees, harmless from and against any claims, liabilities, damages, losses, and expenses (including, without limitation, attorneys' fees and costs), which are proximately caused by my or my student’s participation in any STEM World Program.
11. Dispute Resolution Process, Choice of Law, Forum Selection
For any claim or dispute arising out of or relating to my or my student's participation in any Program, whether on site or off site, I agree to temporarily forego any action in court and instead engage in two pre-lawsuit procedures prior to bringing any action in court, which are hereby specifically acknowledged as conditions precedent. Therefore, I agree to first deliver a demand in writing to STEM World listing the factual basis(es) for the dispute and any request for remedy(ies) (monetary or equitable) sought. STEM World will be provided thirty (30) days to respond to such demand before any further legal action is taken by me. Thereafter, I agree to submit my dispute to non-binding mediation with an agreed-upon mediation service before filing any lawsuit in court. If the parties cannot agree upon a mediation service, then I agree to mediate the dispute with JAMS in Los Angeles, California. In addition, I agree that any legal action shall only be brought in the Superior Court of California, County of Los Angeles and that the laws of the State of California shall apply to all disputes hereunder. I hereby acknowledge that I understand the terms of this provision and agree to fully comply with each and every one of its terms.
12. Right to Modify Terms
STEM World reserves the right to update or modify these Terms and Conditions at any time and that it is my responsibility to read these Terms and Conditions prior to participating in any Programs.
13. Copyright Notice
“STEM World” is a registered trademark of STEM World LLC and STEM World Pasadena LLC uses such trademark and other copyrightable materials with the permission of STEM World LLC. I agree not to do anything that infringes upon the trademark or other copyrightable materials by either company. STEM World has the right to seek immediate injunctive relief for any infringement on its trademark or copyrightable materials.
